Maintenance Administrator (Part-Time)

About Us

SUPER 8 is an expanding collection of six restaurants across Central and East London, alongside our own in-house butchery.

We’re looking for an organised, proactive and commercially minded Maintenance Administrator to help ensure our restaurants are safe, compliant and operating to the highest standards.

Working closely with our Operations Director, restaurant General Managers, contractors and Central Team, you’ll coordinate maintenance across our sites, manage our maintenance systems and ensure work is completed efficiently, to the right standard and at the right cost.

What you’ll be doing:

  • Manage our maintenance system: Take ownership of Access Maintain (Pronett), ensuring maintenance requests, asset information, completed works and compliance documentation are accurately recorded and kept up to date. Support site managers with system training and develop the system to include relevant property information, such as plans, paint codes and insurance certificates.
  • Coordinate maintenance and repairs: Manage planned preventative maintenance (PPM) and reactive repairs across our restaurant portfolio, scheduling contractor visits, following up on overdue works and coordinating remedial repairs and snagging.
  • Support our restaurant teams: Act as the key point of contact for site managers on maintenance issues, including emergencies, keeping stakeholders informed and ensuring issues are followed through to resolution.
  • Monitor site maintenance: Visit each restaurant at least monthly to review maintenance requirements, completed works and outstanding issues.
  • Manage contractors and quotations: Obtain, review and approve quotations for smaller works within agreed limits, challenge proposed costs and ensure value for money. Obtain Operations Director approval before instructing any works exceeding £1,000.
  • Drive cost efficiency: Review contractor rates and alternative suppliers regularly, identifying opportunities to reduce expenditure and improve efficiency without compromising quality or compliance.
  • Maintain compliance records: Keep maintenance schedules, certificates, asset registers and supporting documentation accurate and up to date, providing information to landlords and other third parties when required.
  • Support financial administration: Assist the Finance Team with invoice queries, contractor payments and supporting records. Attend monthly maintenance calls to review works, support payment approvals and identify potential overcharging.
  • Monitor planned works and system issues: Track maintenance schedules, resolve system logging and quotation issues, and ensure completed works are properly documented and closed out.

What you’ll bring:

  • Experience in maintenance administration, facilities coordination or a similar administrative or operational role.
  • Good working knowledge of Access Maintain (Pronett), or strong proficiency in a comparable maintenance management system, with the ability to learn new systems quickly.
  • Excellent organisational and administrative skills, with strong attention to detail and the ability to manage multiple priorities.
  • Strong IT skills and confidence maintaining accurate records and managing systems.
  • Experience liaising with contractors, suppliers or other external service providers.
  • Commercial awareness, with the confidence to review quotations, question costs and identify opportunities for savings.
  • A proactive, practical approach to problem-solving, with the ability to work independently and follow up outstanding issues through to completion.
  • Strong communication skills and the ability to work effectively with restaurant teams, contractors and senior stakeholders.

Desirable:

  • Experience working in hospitality, ideally within restaurants or a multi-site business.
  • Experience coordinating planned preventative maintenance, reactive repairs and compliance documentation.
  • Familiarity with property maintenance requirements, contractor management and health and safety compliance.
  • Experience maintaining asset registers and managing maintenance records across multiple locations.

Working Arrangements

This is a 15-hour-per-week, hybrid role, combining home working with regular visits to our restaurant sites. Flexibility is required to accommodate site visits, scheduled maintenance and occasional urgent issues across our restaurants.

What’s in it for you:

  • 28 days of annual leave, including bank holidays, (Pro- rata - 0.4 FTE).
  • 50% discount at all our restaurants - Kiln, Brat, Smoking Goat, Mountain, Impala & Brat x Climpson's Arch.
  • Discounted dining at various local establishments near Super 8 restaurants.
  • Enhanced maternity leave, a pension scheme, subsidised mental health support and a cycle-to-work scheme.
  • Refer a Friend scheme - recommend someone to join Super 8 and receive a bonus.
  • A £300 contribution towards the purchase of a work laptop for salaried staff members, subject to company policy.

If you’re organised, commercially minded and enjoy making sure things run smoothly behind the scenes, we’d love to hear from you. Join SUPER 8 and play a key role in supporting our restaurants, our teams and the continued success of our business.

If this sounds like a great fit for you, we’d love to see your application!
